Office Cubicles 101: How Systems Furniture Actually Works

A plain-English explainer of how cubicles are built, what every part is called, and how to buy a system you can still add to two years from now.

Most people buying cubicles for the first time assume they are buying a product, the way they would buy a desk. They are not. They are buying a kit of parts that gets assembled into workstations on their floor, and almost every frustration in the process traces back to that one misunderstanding. This guide explains how systems furniture works, what each part is called, and the five things to decide before you ask anyone for a quote.

What "systems furniture" means

Systems furniture is office furniture built from interchangeable components that attach to a shared structure. The structure is a run of panels or frames. Everything else, the desk surface, the overhead bin, the file drawer, the power outlet, the tack board, hangs off that structure or bolts into it.

The practical consequence is that a "6'x6' cubicle" is a description of a footprint, not a part number. Two stations with the same footprint can contain a different number of panels, different support hardware, different storage and a different electrical package. That is why a quote you get for "twenty 6x6 cubicles" is meaningless until someone has written down what is in each one.

It also means cubicles are reconfigurable in a way that freestanding desks are not. The same parts can be rebuilt into a different layout when your headcount changes, which is the main reason systems furniture has survived every prediction of its death.

The anatomy of a workstation

Here is every part you will see on a quote, in plain terms.

Connectors and trim are where first-time buyers get burned. Someone buys a pallet of panels at a good price, then discovers there are no four-way posts and no top caps, and those parts are no longer manufactured. Size and layout choices are covered in more depth in the cubicle size guide.

Panel-based, frame-and-tile and post-and-beam

Three structural approaches dominate the market. Knowing which one you are looking at tells you what you can change later and how hard the install will be.

When you are buying used, this distinction decides how flexible your purchase is. A monolithic panel system is the least expensive way to get people seated and is often the right answer. A frame-and-tile system costs more but lets you add a glass tile above a 42" run later, or convert a fabric panel to a whiteboard, without buying new structure.

Why brands do not mix, and why that matters

There is no industry standard connector. Each manufacturer designs its own slot spacing, hanging brackets, connector geometry and electrical block. A panel from one manufacturer will not lock to a panel from another, its worksurface brackets will not engage, and its power harness will not plug in. Adapters exist for a handful of common pairings but they are rarely worth the money or the wobble.

Worse, compatibility often breaks within a manufacturer. A product line from the 1990s and its successor from the 2010s can share a badge and share nothing else. So "it's a Steelcase office" is not enough information. You need the line name and the panel height.

The single most expensive mistake in used cubicles is buying ten more stations a year later and discovering they will not connect to the twenty you already own.

Protect yourself three ways. Buy one manufacturer and one line for the whole floor. Buy a few spare panels, connectors and top caps at the same time, because trim is cheap now and unobtainable later. The vocabulary buyers get tripped up by

  • Spine: a continuous shared wall of panels that several stations hang off, on both sides. Efficient, because one panel serves two people.
  • Run: any continuous straight line of connected panels.
  • Inline: stations in a single row, side by side, sharing dividing panels.
  • Cluster (or pod): typically four stations sharing a central spine, arranged in a pinwheel or a 2x2.
  • Bullpen: a dense block of low-panel stations, usually for teams that talk all day.
  • Benching: shared worksurfaces with low screens instead of panels; the cheapest seat per square foot.
  • Stack-on: a segment added to the top of an existing panel to raise its height, common on frame systems.
  • Cantilever: a bracket that hangs a worksurface off the panel with no leg at the front, keeping the footwell clear.
  • Raceway: the enclosed channel at the base of a panel where the electrical harness runs.
  • Base feed: the hard connection from building power into the raceway, made by a licensed electrician.
  • Powered vs non-powered: whether a panel contains an electrical harness at all. Non-powered panels are cheaper and lighter, and perfectly fine when you have floor boxes or wall outlets nearby.

Power: raceway, base feed and what an electrician does

Power is the part of a cubicle project most likely to surprise a first-time buyer, because it is not furniture and it is not priced like furniture.

A powered run works like this. An electrician brings building power to a base feed at one point in the run. From there the harness travels through the raceway from panel to panel, and receptacles pop out at the base or at the worksurface. There is a circuit limit per run, so a long run of heavy workstations may need a second feed. Data cabling travels the same raceway but is pulled separately.

Two decisions follow. First, powered or not: if your building has floor boxes on a reasonable grid, non-powered panels plus a few surface-mounted strips can be the cheaper and faster answer. Second, who does the electrical: at Office Station, furniture pricing excludes electrical, delivery and professional installation, and those are quoted separately. What actually determines the price

Five variables move the number: footprint, condition grade, panel height, storage, and whether the run is powered. Here is the furniture-only rate card per workstation.

Panel height applies a multiplier: low 42" is ×0.95, mid 53" is ×1.00, tall 65" is ×1.08. Add-ons are priced the same three ways: ergonomic task chairs at $145, $245 or $395, mobile file pedestals at $95, $145 or $245, and private office suites at $695, $1,150 or $2,250. Now the case for used, in numbers. A 6'x6' station is $615 in liquidation grade against $1,920 new, a difference of $1,305 per seat. Across a twenty-person floor that is $12,300 instead of $38,400, a saving of $26,100 on furniture alone. Remanufactured sits in the middle at $1,245, giving you new fabric and laminate on a refinished frame for about 65% of the new price.

The first five decisions before you request a quote

  1. Headcount, today and in two years. Quote the number you will actually seat, then decide whether to buy the growth now at today's price or reserve inventory.
  2. Footprint per person. 6'x6' is the workhorse. 6'x8' suits paper-heavy or dual-monitor roles. 8'x8' for managers. Bench seats for hybrid staff who are in two days a week.
  3. Panel height. 42" keeps sightlines and daylight. 53" gives seated privacy and is the most common choice. 65" is for call floors and anywhere people are on the phone all day.
  4. Powered or not. Walk the floor and find your existing power. This decision changes your electrical budget more than any furniture choice.
  5. Grade and date. Work backward from your move-in date: 72 hours, 7 to 14 days, or 4 to 6 weeks. The date usually picks the grade before the budget does.

A powered station has an electrical harness running through the base raceway of its panels, feeding receptacles at the work surface. It needs a base feed, a hard connection from building power made by a licensed electrician. Non-powered panels are hollow at the base and rely on wall outlets or floor boxes. Electrical work is quoted separately from furniture.
