Visitors decide how they feel about your company in the first few seconds after they walk in. The reception area sets that impression, and it also has to function: someone needs to greet guests, sign in deliveries and keep an eye on the door, while visitors need a comfortable place to wait.
Pre-owned reception area furniture lets you put a polished, designer-brand lobby together without the cost of new. Here is how to plan it.
Start with the flow, not the furniture
Before choosing a desk or chairs, walk the path a visitor takes. Three questions shape almost every lobby layout:
- Can the receptionist see the door? The desk should face or angle toward the entry so guests are greeted right away.
- Is the path to the desk obvious? A visitor should never have to walk around seating to reach the counter.
- Where does a guest go next? Keep a clear route from the desk to meeting rooms or the office interior, and keep waiting guests out of that path.
Once flow is settled, the furniture list almost writes itself.
Choosing a reception desk
The reception desk is the anchor piece. Most fall into a few shapes.
| Desk style | Best for | Consider |
|---|---|---|
| Straight desk with transaction counter | Small lobbies, one receptionist | Needs wall space behind for storage |
| L-shape reception station | Most corporate lobbies | Return gives room for a printer or sign-in tablet |
| U-shape or curved station | Larger lobbies, two staff members | Takes more floor area, confirm fit carefully |
| Modular panel-based station | Offices using matching workstation systems | Can coordinate finishes with the open plan |
What to check on a pre-owned reception desk
- Transaction counter height and surface condition, since visitors touch and lean on it
- Internal work surface depth for a monitor and keyboard
- Cable management and grommet locations relative to your outlets
- Whether left or right returns match your entry side
- Locking drawers and key availability
- All components present, including end panels and modesty panels
Guest seating
Lobby seating should be comfortable for a short wait, easy to clean and simple to get in and out of. Upright lounge chairs with arms work well for most guests. Sofas look inviting but strangers rarely share them, so individual chairs usually seat more people in practice.
Spacing matters as much as the pieces. Leave a small gap or a side table between chairs so guests do not feel crowded, and avoid placing seating where people waiting can see a receptionist's screen or overhear phone calls. If you have the room, put seating along a side wall rather than directly facing the desk. That gives guests a view of the entry and gives your receptionist a little privacy.
- Lounge chairs suit corporate and professional offices where waits are short.
- Guest or side chairs in rows or pairs suit high-traffic waiting rooms.
- Occasional tables give guests a spot for a coffee, a phone or reading material.
If your waiting area doubles as a place for staff to relax, our office lounge furniture page covers deeper seating and work-friendly layouts.

Picking the right condition grade for a lobby
Every pre-owned piece we sell is graded. Because the lobby is your most visible room, grade matters more here than in back-of-house spaces.
- Grade A, like new. Our usual recommendation for reception desks and front-row seating.
- Grade B, very good. Light wear visible up close. Often fine for side chairs and tables away from the desk.
- Grade C, good. Visible wear with sound structure. Better suited to staff areas than to the lobby itself.
Timing, delivery and installation
If your lobby needs to be ready for an opening date, choose the tier with that date in mind. Liquidation-grade items in stock can be ready in as little as 72 hours. Remanufactured usually takes 7 to 14 days. New furniture typically takes 4 to 6 weeks.
Greater Phoenix delivery is $195 for central zones or $295 for the wider metro. Freight elsewhere in the country is quoted per project. Professional installation is available, which matters for reception stations that arrive as multiple components.

Frequently asked questions
How many guest seats does a reception area need?
Count how many visitors typically wait at the same time during your busiest hour, then add a small buffer. Most offices need far fewer seats than they think. A medical or service office with scheduled appointments usually needs more than a corporate office with occasional guests.
Can I buy a pre-owned reception desk?
Yes. Pre-owned reception desks are a good way to get a designer front desk at a lower cost. Check the transaction counter height, internal work surface, cable management and whether the configuration fits your wall and entry.
Is space planning really free?
Yes. Send your lobby dimensions or floor plan and we will suggest a desk position, seating layout and clear paths from the door to the desk and from the desk to the rest of the office.
Do pre-owned reception pieces include a warranty?
Generally, no. Office Station is an independent reseller, not an authorized dealer, and manufacturer warranties generally do not transfer to pre-owned furniture. Each piece carries an A, B or C condition grade so you know what to expect.
How quickly can I furnish a lobby?
It depends on the tier. Liquidation-grade items in stock can be ready in as little as 72 hours, remanufactured usually takes 7 to 14 days, and new typically takes 4 to 6 weeks.
