Hybrid Workplace Furniture: Right-Size Before You Buy

Most hybrid offices are furnished for a headcount that no longer shows up. Here is how to plan the furniture you actually need and turn the surplus into value instead of storage fees.

Hybrid work changed how people use an office, but in many buildings the furniture never got the memo. Rows of assigned workstations sit empty four days a week while teams hunt for a room to meet in. Right-sizing fixes both problems: you keep the stations you need, add the spaces people now come in for, and turn the rest into cash or cleared floor space.

Start with attendance data, not headcount

The biggest planning mistake is furnishing for everyone on payroll. Instead, measure how the space is used.

  • Collect four to eight weeks of data. Badge swipes, desk booking logs or a simple daily walk count all work.
  • Find your peak regular day. Ignore one-off all-hands events. Look at the busiest normal day, often mid-week.
  • Add a buffer. Plan roughly 10 to 20 percent above peak for visitors, new hires and schedule drift.
  • Separate assigned from shared. Some roles still need a dedicated desk. Count those first, then size the shared pool.

The result is a target station count. The difference between that number and what you own today is your surplus.

Reconfigure what you have

Workstation systems can often be broken down into smaller clusters, lowered for open sightlines or regrouped into team neighborhoods. This keeps costs low when your existing furniture is in good shape and still fits the plan.

Replace selectively

  • Plan installation. Installation is $95 per workstation with a $495 minimum. Space planning is free.
  • Budget delivery. Greater Phoenix delivery is $195 central or $295 metro. Freight elsewhere is quoted per project.
