Pre-owned reception

Used Reception Desks

Your reception desk is the first thing visitors see and one of the hardest-working pieces in the building. Buying pre-owned gets you more desk for the budget, as long as you check the right things first.

Pre-owned office workstations

A reception desk does two jobs at once. It has to look sharp to every visitor who walks in, and it has to be a real workstation for the person who sits behind it all day. It also takes more abuse than most furniture: packages, leaning elbows, clipboards and constant contact with the front edge. Used reception desks let you get a well-built, better-looking desk than your budget would buy new.

This guide covers the common desk configurations, how condition grades apply to a piece this visible, what to measure and how delivery works.

Common reception desk configurations

Start with how your front desk will be used. The right shape depends on how many people staff it and how visitors approach it.

ConfigurationHow it worksGood fit for
Straight desk with transaction counterA single run with a raised top along the visitor sideSmall lobbies, one receptionist
L-shapedA return gives the receptionist a separate work surface and storageFront desks that also handle admin work
U-shapedWork surface on three sides, visitors approach one faceBusy desks with phones, printers and files
Two-person or extended runA longer counter for two staff or a check-in lineMedical, professional services, larger lobbies
Workstation-based receptionPanel system with a transaction top added to the visitor sideOffices matching reception to existing cubicles

If your office already uses systems furniture, a workstation-based setup can tie the lobby into the rest of the floor. Browse used cubicles to see how those parts fit together.

How condition grades apply to reception

Pre-owned pieces are graded on a three-step scale. For most furniture, a grade C piece in a back room is a smart saving. Reception is different, because the front of the desk is essentially signage.

  • Grade A, like new. The safe choice for client-facing lobbies where the desk sets the tone.
  • Grade B, very good. A strong value when wear is minor and mostly on surfaces visitors will not study, such as the staff side or the return.
  • Grade C, good. Best for internal reception points, such as a warehouse check-in or a back-office front counter.

What to measure before you choose a desk

Reception desks are large, and lobbies tend to be tighter than they look on a floor plan. Measure these before you fall for a specific piece:

  1. Overall footprint. Width and depth of the desk plus the returns.
  2. Chair clearance. Room behind the desk for the receptionist to roll back and stand up comfortably.
  3. Visitor approach. A clear path from the entry to the counter, with space for more than one person to wait.
  4. Door swings. Entry doors, office doors and any closets that open into the lobby.
  5. Accessibility. Whether your space needs a lower counter section or specific clearances. Confirm requirements with your architect or building.
  6. Power and data. Where outlets and data ports sit, and whether the desk has a path for cables.
  7. Delivery route. Door widths, hallway turns and the elevator, since long counter sections need a clear path in.

Space planning is free. Send your floor plan or measurements and the desk can be checked against the actual room before anything ships.

What to check on a used reception desk

Because manufacturer warranties generally do not transfer to pre-owned furniture, your inspection does the job a warranty would. Ask about or check each of these:

  • Edges and corners on the transaction top, where chips show first
  • Front panel finish, especially near the floor where carts and feet hit
  • Drawer slides and locks, and whether keys are included
  • Levelers or glides that let the desk sit flat on an uneven floor
  • Grommets and cable management openings
  • All connecting hardware between the main desk and returns

Office Station sells pre-owned furniture from brands such as Herman Miller, Steelcase, Knoll, Haworth, Teknion, Allsteel, Kimball and AIS as an independent reseller, not an authorized dealer. Available reception pieces depend on current inventory.

Reception desks often arrive in sections that need to be connected and leveled on site. If you are also buying workstations, installation runs $95 per workstation with a $495 minimum, and the reception desk can be scheduled on the same visit. Delivery is a flat trip fee in Greater Phoenix, so putting the desk on the same truck as the rest of your furniture keeps costs down.

Timing a lobby refresh

If you are staying in your space, a reception swap is usually quick: remove the old desk, install the new one and reconnect power and phones. Consider scheduling it for an evening or a weekend so visitors never see an empty lobby. If you are moving, set up reception early so the front door works on day one, even if some workstations are still being finished. See corporate relocation for how the pieces of a move fit together.

Replacing a whole floor and not just the lobby? Your existing furniture may be worth more than removal costs. Office furniture liquidation starts with a written net offer.

Yes. Space planning is free. The desk footprint can be checked against your entry, door swings, walkways and any accessibility clearances you need to keep before you commit to a specific desk.

How much is delivery for a reception desk in Phoenix?

Greater Phoenix delivery is $195 for central locations and $295 for the wider metro. Outside Greater Phoenix, freight is quoted per project based on the piece and the destination.

Do used reception desks come with a manufacturer warranty?

Generally no. Office Station is an independent reseller, not an authorized dealer, and manufacturer warranties generally do not transfer to pre-owned furniture. That is why condition grades and a careful inspection matter.

Can a reception desk ship with the rest of my office furniture?

Yes. If you are also buying workstations or seating, the reception desk can go on the same delivery so you are not paying for a second trip. Ask for installation to be included in the quote.
