Sizing a conference table
The most common mistake with used conference tables is buying the biggest one that fits through the door. A table that fills the room leaves no space to sit comfortably.
- Seating: plan roughly 30 inches of edge per person. A 10-foot table seats about eight to ten people depending on the ends.
- Clearance: leave 36 inches minimum between the table edge and walls, and closer to 48 inches where people walk behind seated guests.
- Screens: keep enough distance between the far end of the table and a wall-mounted display so the nearest seats are not craning their necks.
- Shape: rectangular tables fit narrow rooms, racetrack and boat shapes improve sightlines to the ends, and round tables work best for four to six people.

What to inspect on a used table
Tables are simpler than seating or sit-stand desks, but a few details make or break a purchase.
- All sections present. Multi-piece conference tables need every top section, connector plate and base. A missing center section is hard to replace.
- Finish match. Sections should match in color and wear. Wood veneer can shift in tone with sun exposure, so pieces from different rooms may not line up.
- Edges and corners. Look for chipped edge banding and lifted veneer, which are common where chairs bump the table.
- Power and data. Many conference tables have built-in grommets or power modules. Confirm the module is present and note that electrical connection to the building is not included.
- Mechanisms. On training tables, test every flip-top latch, nesting hinge and caster lock.
- Level and stable. Leveling glides should adjust, and the table should not rock.
Condition grades for tables
Every pre-owned piece is graded A like new, B very good or C good. For a boardroom where clients sit, most buyers choose Grade A so the surface reads as new. Training rooms and breakrooms are good places for Grade B or C, since those tables take daily wear anyway and the savings add up across a room of twenty.

- Door widths along the path, including suite entry and conference room doors
- Tight hallway turns where a long top section has to pivot
- Whether the building requires dock scheduling or after-hours deliveries
