Healthcare office furniture has to do two jobs at once. Patients judge a practice by the waiting room, and staff spend long shifts at the front desk and in billing. The good news is that most of a clinic's non-clinical furniture is standard commercial office furniture, which means you can mix new and graded pre-owned pieces to control cost without making the practice feel secondhand.
A quick note on scope: Office Station furnishes the office side of a practice. Exam tables, procedure chairs and medical equipment belong with a medical equipment supplier.
Plan your clinic by zone
Break the practice into zones. Each one has different priorities, and that tells you where new furniture is worth it and where pre-owned is the smarter buy.
Waiting area
This is your first impression. Seating needs to be easy to wipe down, stable for patients who push up on the arms, and arranged so people are not sitting knee to knee. Include a few chairs with arms and a higher seat for patients who have trouble standing. Leave clear space for wheelchairs, walkers and strollers.
Reception and check-in
The front desk takes constant use. Plan a transaction height for patients, a work height for staff, and enough surface for monitors, a printer and a card reader. Think about how sound carries toward the waiting area, and position screens so patients cannot read them.
Administrative and billing offices
Coding, billing and scheduling staff sit for full shifts. Workstations with good task chairs, adjustable monitors and personal storage make a real difference here. This is also the easiest zone to furnish pre-owned.
Private offices and consult rooms
Physicians and practice managers need a desk, guest seating for difficult conversations, and storage that locks. A small round table often works better than a desk for consults.
Records and supply storage
Locking files and cabinets for anything sensitive, plus shelving or cabinets for supplies. See filing and storage options for the types and what to check.
Where to buy new and where to buy pre-owned
| Zone | Common approach | Why |
|---|---|---|
| Waiting area seating | New, or Grade A pre-owned | Patient-facing, and upholstery must suit your cleaning protocol |
| Reception desk | New or remanufactured | Sizes and heights often need to match the specific space |
| Billing and admin workstations | Remanufactured or liquidation-grade | Staff-only, high value from commercial-grade pre-owned systems |
| Staff task chairs | Grade A or B pre-owned designer chairs | Full ergonomic features for less than new |
| Private office desks | Grade A or B pre-owned | Durable and rarely damaged by normal use |
| Storage and files | Any tier | Steel storage holds up well pre-owned |
Pre-owned designer furniture from brands like Herman Miller, Steelcase, Knoll, Haworth, Humanscale, Teknion, Allsteel, Kimball, AIS and Friant is graded A like new, B very good or C good. Office Station is an independent reseller, not an authorized dealer, and manufacturer warranties generally do not transfer to pre-owned furniture.

What healthcare office furniture costs
For administrative areas, workstations are the biggest line item. A 6'x6' workstation, furniture only, runs:
- Liquidation-grade: $615, in stock in as little as 72 hours.
- Remanufactured: $1,245, usually 7 to 14 days.
- New: $1,920, typically 4 to 6 weeks.
Prices exclude electrical, delivery and professional installation. Installation is $95 per workstation with a $495 minimum. Greater Phoenix delivery is $195 for central zones and $295 for the wider metro, and freight elsewhere in the country is quoted per project. Larger buildouts get volume pricing of 5% at 20 or more stations, 8% at 50 or more, and 12% at 100 or more. Waiting room seating, reception desks and private office pieces are quoted per project.
New practice furniture checklist
- Count waiting seats from your busiest hour, not an average day.
- Mix seat types: some with arms, some higher, some for bariatric use.
- Keep clear paths for wheelchairs and walkers through every patient area.
- Angle reception and billing screens away from patient sightlines.
- Specify locking storage anywhere patient records or personal information live.
- Confirm upholstery compatibility with your disinfectants.
- Book electrical for workstations early, since it is not included in furniture pricing.
- Schedule around your opening date using the slowest tier in your order.
Space planning is free, so send your floor plan and target opening date and we can lay out each zone.
Moving or consolidating a practice
Practices relocate, merge and downsize. If you are moving, corporate relocation services can coordinate the move. If you are leaving a space, office decommissioning includes itemized inventory, e-waste with certificates of data destruction, and a photo-documented broom-clean handback. Crews can work nights and weekends so patient hours are not disrupted.
Office furniture with resale value can offset the cost. You get a written net offer: resale value minus removal cost, and a positive number means you are paid.

Frequently asked questions
Do you supply exam room or clinical equipment?
No. This page covers the office side of a healthcare practice: waiting areas, reception, administrative workstations, private offices, storage and staff seating. Exam tables and medical equipment should come from a medical equipment supplier.
Is pre-owned furniture appropriate for a medical office?
For many areas, yes. Administrative workstations, private offices, storage and staff seating are strong candidates for graded pre-owned pieces. For patient-facing seating, confirm the upholstery works with your cleaning products and infection control policy before you buy.
How fast can a new clinic office be furnished?
Liquidation-grade pieces in stock can move in as little as 72 hours, remanufactured furniture usually takes 7 to 14 days, and new furniture typically takes 4 to 6 weeks. Many practices use in-stock pieces for back offices and order new pieces for the waiting room.
Do pre-owned pieces keep their manufacturer warranty?
Generally no. Office Station is an independent reseller, not an authorized dealer, and manufacturer warranties generally do not transfer to pre-owned furniture. Condition grades of A, B or C tell you what shape each piece is in.
Can you help if we are closing or consolidating a practice?
Yes. Office decommissioning includes itemized inventory, e-waste handling with certificates of data destruction, and a photo-documented broom-clean handback. Furniture with resale value can be part of a written net offer.
