Match the furniture to the meeting
Not every meeting room needs a boardroom table. Start by listing how each room is actually used.
Boardroom and client conference room
A long rectangular or boat-shaped table with high-back or mid-back conference chairs. Boat-shaped tables are wider in the middle, which helps everyone see each other and the screen at the end. This is where Grade A pieces earn their place.
Team meeting room
A standard rectangular table seating six to ten with mid-back chairs on casters. Choose chairs with a simple tilt so people can shift during longer meetings.
Huddle room
A small round or square table for two to four people, often with a wall-mounted display. Compact chairs or stools keep the room from feeling crowded.
Training and flexible rooms
Flip-top or modular tables that can be arranged in rows, U-shapes or clusters, paired with stackable or nesting chairs. These rooms change setup often, so mobility matters more than finish.
How to size a conference table
An oversized table is the most common conference room mistake. People cannot pull out chairs, and anyone arriving late has to squeeze along the wall. Use this approach:
- Measure the room wall to wall in both directions.
- Subtract about 8 feet from each dimension for 48 inches of clearance on every side. For a tight room, subtract 6 feet for 36 inches of clearance.
- The result is the largest table footprint that fits comfortably.
- Allow roughly 30 inches of table edge per seated person to estimate seating.

Room sizes assume a table about 42 to 48 inches wide. Wider tables need wider rooms. Also account for credenzas, a display wall or doors that swing inward, since each eats into clearance.
Choosing meeting seating
Chairs make or break a long meeting. Compare these features when selecting pre-owned seating:
- Back height: High-back for formal boardrooms, mid-back for most team rooms. Mid-back chairs also keep sightlines open to a screen.
- Casters or glides: Casters for rooms where people pivot and reposition; glides or sled bases for guest seating and rooms on hard floors where chairs roll too easily.
- Arms: Check that arm height clears the table apron so chairs tuck in fully.
- Upholstery: Mesh stays cooler in long sessions; leather or vinyl reads more formal and wipes clean.
- Matching sets: Count chairs per table plus a few extras along the wall for overflow.
